Job Overview

Reporting directly to the Chief Growth & Operations Officer (CGO), the Executive Assistant provides executive support in a one-on-one working relationship.

The role is 80% focussed on the day to day management of the CGO’s corporate office and 20% focussed on the CGO’s private affairs.

The Executive Assistant serves as the primary point of contact for internal and external parties on all matters pertaining to the CGO. The Executive Assistant also serves as a liaison to the board of directors and senior management teams and coordinates special projects.

Personal management support will be as required and could include managing house hold bills and affairs relating to the family including family travel, children’s education, healthcare and personal development.

The ideal individual will have the ability to exercise good judgment in a variety of situations, with strong written and verbal communication, administrative, and organizational skills, and the ability to maintain a realistic balance among multiple priorities.

The work schedule is Sunday – Thursday, 9:00 am-6:00 pm. It is essential for the candidate to be flexible as communication outside of work hours (some nights and weekends) may be required.

Key Accountabilities:

Board & Executive Team Support

Serve as the CGO’s administrative liaison with the Averda Board of Directors and Executive Team
Assist with meeting scheduling, agenda management and minute taking
Maintain discretion and confidentiality in relationships with all board members

Coordination of Information Flow

Act as a “gatekeeper” and “gateway” to create win-win situations for direct access to the CGO’s time and office
Provide a bridge for smooth communication between the CGO’s office and internal departments
Research, prioritise and follow up on incoming issues and concerns addressed to the CGO, including those of a sensitive or confidential nature. Determine the appropriate course of action, referral, or response
Compose and prepare correspondence (sometimes confidential)
Assist with Business Development and Project Management support

Calendar Management & Travel Coordination

Manage an extremely active calendar of appointments
Keep the CGO well informed of upcoming commitments and responsibilities and following up appropriately
Arrange complex and detailed travel plans, itineraries, agendas and compiling documents for travel-related meetings

Qualifications, Knowledge & Technical Competencies:

Essential

Strong track record of supporting C-Level Executives
Ability to conduct research and present data in a succinct and well-written manner
Excellent writing, editing, grammatical, organisational, and research skills
Proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Adobe Acrobat, and Social Media web platforms
Fluent in English and French; Arabic is advantageous
