Aldar Academies are currently seeking an outstanding Administrative Assistant (UAE National) for Al Yasmina Academy in Abu Dhabi to start in August 2022.

  • Coordinate communications on behalf of the Academy in line with corporate standards
  • Record minutes and action points for any meetings directed by the Heads of School
  • Respond to incoming communications in an appropriate manner to maintain high standards
  • Coordinate the recording and filing of all documentation related to the Academy
  • Organise domestics for meetings, events, conferences, parents’ evenings and training days for the Academy
  • Manage communications with all stakeholders whilst ensuring the highest standards at all times
  • Manage communications with parents via the School Parent Portal/Email
  • Ensure all meetings with parents are followed up with a written response from the relevant SLT
  • Record minutes and action points at any parent forum meetings held by the SLT
  • Be forward thinking and to suggest ways of improving the Primary Academy’s operational efficiency
  • Manage all complaints received by the SLT and to record / track responses
  • Circulate correspondence as needed to parents by the nursing team
  • Attend all administration team meetings
  • Manage the School calendar for all appointments and events across the Academy
  • Typing and branding of official documents and letters to parents
  • Receiving, directing and responding to emails on behalf of the Heads of School as appropriate
  • Liaise with teaching and non-teaching staff and respond to enquiries on matters within the postholder’s responsibility
  • Link to Aldar HQ for all related issues/tasks
  • Design new documents, where necessary, to improve the leadership team’s effectiveness
  • Attend any training deemed necessary in relation to the role of Administration Coordinator
  • Ensure all relevant agendas for the Head of School Team meetings are set 5 days in advance
  • Support general admin on all trips and educational visits
  • Maintaining up to date records for all pupils on engage
  • Lead on the production/distribution of reports to parents
  • Assist with the preparation of PTCs
  • Mailmerge letters to provide a more personalised service for parents and attached to DMS system
  • Responsible for all communications to parents including Homework, Educational visits and invitations to events
  • Co-ordinate Parent liaisons and all parent helpers within the Academy
  • Ensure all fire registers for the School are up to date and accurate
  • Ensure the Receptionist issue the Parent Passes
  • Oversee the Health and Safety Committee in conjunction with Admin Support General

Minimum Qualifications

  • High School Certificate/Diploma or bachelor’s degree Certificate
  • At least 2 years of experience in an administrative role in the region.
  • Experience in the education field is preferred

  • Fluent English and Arabic communication skills, written and oral
  • Strong interpersonal skills
  • Excellent office management skills
  • Proficient in operating PC, Facsimile, Photocopier, Telex, and various office machines, including working knowledge of prevailing popular application software and spreadsheets.

  • A clean enhanced Disclosure and Barring Services check or police check
